Title:    Customer Service Rep (CSR)

General Summary

Virginia Air Distributor’s Customer Service Representatives are tasked with the challenge of providing prompt, accurate and customized approaches to answering customer’s demands. This often times requires great attention to detail, a passion for pleasing others and strong written and verbal communication skills. As a CSR you will handle multiple priorities such as answering phones, processing orders and answering complex technical questions regarding products and services offered by Virginia Air Distributors, Inc.  We take our commitment to excellence seriously and seek only those who feel up to the challenge. 

Primary Duties and Responsibilities

  1. To ensure customer needs and expectations are surpassed every time they do business with us.
  2. Support the sales team at the branch level by completing sales quotes, customer orders and providing accurate and timely responses to customer inquiries and requests.
  3. Build and Maintain internal and external customer relationships.  Address and resolve customer complaints in a timely and professional manner. 
  4. Assist in the preparation of job quotes, and the establishment of folders and submittals upon request, as well as receiving and processing warranty information for customers.
  5. Researching and processing of orders for both parts and equipment with multiple branch inventory  systems.
  6. Expedite inter-branch orders, FAX orders and purchase orders.
  7. Serve as internal support staff for Outside Sales Managers by relaying important information about a customer’s questions, needs or account status.
  8. Because our CSR’s play such a vital role in the success of our company they are often times called to lend their talents in other areas or to train for other opportunities as they arise.

Knowledge, Skills and Abilities Required

  1. Excellent attitude and commitment to superior customer service

 CSRs must exemplify excellent verbal and communication skills, and tremendous attention to detail.

  1. A CSR must demonstrate strong organizational and time management skills.
  2. Familiarity with York product line.
  3. Experience with Microsoft Office software. 
  4. Ability to multi task with ease and to meet deadlines with great accuracy

Working Conditions

  1. Office environment using office related computer equipment.
  2. Frequently required to stand, walk and sit.

Level Summary

  1. A year or more of proven Customer Service Excellence and/ or HVAC experience.
  2. Associate or Bachelor’s degree in business or equivalent level of experience and High School diploma.
